Experience/Criteria


  • Admin experience

  • MSOffice (Word, Excel, PowerPoint; Outlook)

  • Experience on Proman will be an advantage

  • Time management

  • Excellent verbal and written communication skills

  • Detail oriented and work with a high degree of accuracy

  • Highly organized and flexible

  • Ability to multitask and meet changing deadlines

  • Self-directed and able to complete projects with limited supervision

  • Maintains staff confidentiality

  • Self-confidence

Main job function

An administrative assistant is required to provide support to the Finance division, Human Resources division, Tender division, as well as perform general ad-hoc tasks as required.

Job Responsibilities

Finance


  • BBBEE daily updates.

  • VAT registration verification of suppliers on SARS website.

  • Assist with the analysis of the company's carbon footprint.

  • Categorise creditors for QMS audit requirements on Proman i.e. basic data capture on Proman.

  • File and photocopy.

Human Resources


  • Update the training schedule and file the training forms

  • Assist with updates on SharePoint with birthdays, training courses, announcements, etc.

  • Update staff qualifications and detail on Proman CV module.

  • Assist with the bursary and graduate recruitment application process.

  • Assist with collation of applications; scheduling of interviews; preparation of interview packs; etc.

  • Assist with job shadow and university career day initiatives.

  • Assist with travel insurance applications.

Tender Division


  • Capture and record all tenders extracted by the Senior Commercial Administrator.

  • Link each advert to Proman.

  • Record feedback from regions and divisions on decision to submit a proposal and progress on tender submissions.

  • Follow up (telephonically and by email) with regions and divisions to alert them to tenders and/or tender briefings (especially in cases where notice for attendance/submission is short).

  • Type tender related letters, contents page, appendices; etc.

  • Complete forms with standard information.

  • Print and scan tender documents and adverts from newspapers.

  • Assist with tender division lists and schedules.

  • Complete internal forms for distribution of tenders e.g. delivery and collection notes.

  • Filing and making labels.

  • Co-ordinate and book flights and accommodation for tender related opportunities.

General Adhoc Tasks


  • Assist with general ad-hoc tasks as required.
