FINANCE ADMINISTRATOR

JOB  TITLE        :  FINANCE ADMINISTRATOR

REQUIREMENTS  & DUTIES

  • Follow up and keep a copies of SAD500 documents for all exports leaving the region, for NIL Vat Invoices,
  • Capturing all supplier invoices and prepare reconciliations by the 28th for month-end payments
  • Capturing and updating receipts against the correct customer accounts and cash sale accounts on a daily basis for both regions,
  • Reconciling the ABSA Deposit account weekly on the system with the Credit Controller,
  • Reconciling the Customer accounts and ensuring necessary discounts, claims, bad debt journals are processed correctly in a timely manner,
  • Cash Collection of outstanding funds, through continuous follow up telephonically and if necessary via written correspondence on a weekly basis, specifically at month-end,
  • Bi-weekly reconciliation of the cash sale accounts to ensure they are up to date at all times.  This is to be done with the SOP person,
  • Perform necessary customer account reconciliations and ensure necessary journals or credit notes are processed in line with company procedures,
  • Authorize the processing of credit notes to a maximum of R 20 000.  Above this amount all credit notes need to be authorized by a Director,
  • Printing and posting or emailing of customer statements within 3 days after month end,
  • Liaising and corresponding with Company Lawyers in order to collect long outstanding debt in conjunction with the Credit Controller,
  • Ensure there is good communication between yourself and SOP to ensure there are no delays in orders being processed and that accounts on hold are communicated as such to avoid sending goods to “poor” account customers,
  • Make decisions based on information received by the customer and fellow colleagues in order to allow customer satisfaction.  You may authorize with discretion, and allow a customer to exceed their credit limit by either 10% or R5 000, whichever is greater.  Amounts above these limits need to be authorized by a Director,
  • Forward all customer contact details to the Credit Controller on an ongoing basis to ensure that our system is always up to date,
  • Forward all credit applications to the Credit Controller for verification and approval,
  • Forward the Debtors report by the 10th and 20th of each month for meeting,
  • Process stock adjustments within Finance procedures,
  • Proactively ensure weekly cycle counts are done, prepare all stock take files and process within guidelines 
  • Manage and process petty cash within procedure,
  • Capture and reconcile the Johannesburg cash book on a monthly basis,
  • Prepare quarterly reports including stock variance analysis, poor debtor performance, internal controls, general and branch specific issues as required,
  • Be responsible for insurance administration liaising with the Commercial Supervisor for branch requirements,
  • General ad-hoc assignments, questionnaires and other administrative duties,
  • Month-end accruals to be forwarded to the Commercial Supervisor, and
  • Maintain an accurate status of each customer on the system, ensuring accounts are placed on hold and released timeously,
  • Any other reasonable duty as requested from time to time by your reporting Manager.
